Insights from Our Recent Staff Meetings: Creativity, Collaboration, and Client Retention

Over the past few weeks, our team has engaged in a series of meaningful staff meetings centered around culture, client engagement, and strategic focus. Each meeting offered a unique lens into how we grow individually and collectively—from enhancing mental clarity and strengthening collaboration, to taking actionable steps toward improving client retention. Here’s a quick recap of our discussions:

1. Expanding Strategic Thinking through Creativity

In one of our recent meetings, we watched a short video by John Van Vleck, Founder of The Green Room Collective, who introduced us to a concept he calls "mental sorbets"—simple creativity exercises designed to clear the mind and refocus attention.

One exercise challenged us to rotate our ankle clockwise while drawing the number six in the air with the opposite hand—a deceptively tricky task that made us laugh and think more intentionally about focus.

Key takeaways from the discussion included:

  • The importance of being mentally present before meetings.

  • Tactics we already use to prepare, like reviewing agendas or engaging in confidence-boosting body language.

  • The realization that a brief moment of preparation can unlock more focused and strategic thinking.

We also enjoyed a client spotlight from DeLand on Arctic Spas, offering an inside look at the successes with that client partnership.

2. Balancing Independence and Team Buy-In

Another meeting centered around a culture video that asked: “Are you a lone wolf in your organizational culture?” It sparked a thoughtful conversation about the tension between working solo and building collaboration. Carrie also shared a valuable client overview of Paradeigm, helping us understand how trust and teamwork play a role in client relationships too.

Discussion highlights:

  • We acknowledged the temptation to work independently—often due to urgency or lack of trust—but recognized the long-term value in involving others.

  • We talked about how our spouses and close peers often serve as important thought partners, challenging and strengthening our ideas before we act.

  • One practical takeaway was the idea of sharing ideas with a small group first to refine them before bringing them to the full team.

3. Refocusing on Client Retention

In our most recent staff meeting, we turned inward and strategic—taking time to reflect on our Q3 Rocks with a focus on client retention. Without a video this time, we dove straight into a team-led discussion about how we’re showing up for our clients and how we can improve their experience over time.

We explored questions such as:

  • What are the early signs that a client may churn—or indicators that they’re thriving?

  • Are we consistently delivering on our value proposition?

  • What simple, high-impact actions can we take this quarter to boost retention?

This session allowed us to align on small, practical steps we can take as individuals and as a team to deepen client relationships and reinforce trust.

Each of these meetings gave us space to reflect, refocus, and reconnect—with each other and with our broader goals.
